Specialty Orthopedic Group is a busy orthopedic practice in Mississippi providing comprehensive care across multiple specialties, including hand, wrist, and elbow surgery; joint replacement; sports medicine; spine care; hip preservation; and interventional pain management.
Like many specialty practices, the organization relies heavily on incoming faxes and referrals to coordinate patient care. As the practice grew, the volume of incoming documents quickly became difficult to manage using manual processes.
By implementing Medsender’s Fax & Document Automation integrated with ModMed EMA, Specialty Orthopedic Group centralized fax intake, automated repetitive administrative work, and improved how quickly referrals and clinical documents reach the patient chart. At an operational scale, the practice manages a high volume of incoming documents every day, including approximately 800 faxes and 150 referrals, many of which contain multi-page clinical records.
Before Medsender, fax management created daily operational bottlenecks. Staff had to manually sort incoming documents, scan them into the EHR, attach files to patient charts, and route information to the appropriate team members.
Because faxes arrived at multiple locations across the office, it was difficult to maintain a consistent, organized intake process. Paper documents often accumulate while waiting to be scanned and processed.
At one point, the practice even hired an additional employee just to scan incoming faxes into the system. As document and referral volume increased, leadership recognized that continuing to manage intake this way would limit efficiency and make it harder for the practice to scale operations.
Specialty Orthopedic Group implemented Medsender’s Fax & Document Automation to centralize and streamline document intake.
With Medsender integrated directly with ModMed EMA, the practice now receives incoming faxes through a single digital platform that helps route and process documents more efficiently.
Key capabilities include:
For Jackie Gardner, Office Manager and primary Medsender user, automation has significantly simplified day-to-day work.
“Auto-attaching and auto-tasking in ModMed EMA has been the biggest benefit. I used to have to do that manually for every chart.”
Jackie Gardner, Office Manager
The system also provides better visibility into incoming documents so staff can review referrals before sending them to the patient’s chart.
Before Medsender, fax management consumed Jackie’s entire day. Today, fax processing takes about half a day, freeing up time for other operational responsibilities.
Referral follow-up has also improved. Previously, referral coordinators often needed a full day or more before contacting patients. Now, referrals can typically be reviewed, and patients can be contacted the same day, helping the practice move patients through the scheduling process faster.
Even as fax and referral volume increased, the team has been able to absorb the additional workload without hiring additional administrative staff, allowing the practice to scale more efficiently.
Because Medsender is web-based, the team can continue managing documents even when the office is closed due to weather or other disruptions, ensuring important information reaches the patient’s chart without delay.
When evaluating solutions, the leadership team focused on three priorities:
Medsender delivered on all three priorities while integrating directly with the practice’s ModMed EMA system.
